Privacy Policy

The short version. We don't sell, share, or publish the text and documents you translate, and we don't show them to anyone else. We keep only the minimal logs needed to run, secure, and improve the service. By default your content is translated on our own secure, self-hosted models and kept in the EU — it isn't sent to a big-tech AI cloud. We never use your content to train AI models.

1. Who we are

Translate is operated by Baobab Tech, a trading name of Mills IT Consulting Ltd., a company incorporated in Alberta, Canada. We are the data controller for the service. For privacy questions or data-subject requests, contact privacy@baobabtech.ai.

2. Data we process

Translation content — the text and documents you submit, the translations returned, the language pair and domain, and timestamps — so we can perform and return your translation.
Account data — your email address, if you sign up. We use passwordless one-time codes, so we don't store passwords.
Operational telemetry — IP address, request metadata, character counts, API key usage, and error logs, used for rate limiting, quotas, security, and reliability.

We do not intentionally collect special-category data. Please don't submit sensitive personal data you don't need translated.

3. How we use it

We use your data to deliver translations, operate and secure the service (preventing abuse and enforcing rate limits/quotas), diagnose errors, and improve translation quality. Our lawful bases are performance of a contract (delivering the service you request) and our legitimate interests (security and improvement). We do not sell personal data and do not use your content to train AI models.

4. How translation works (data flow)

By default, translations run on self-hosted AI models on infrastructure we control, not third-party AI clouds; your source text is also embedded and matched against a translation memory of human-verified examples to improve terminology. For certain languages a frontier model may be enabled where it measurably improves quality — a deliberate, per-language choice — routed via the Vercel AI Gateway under a zero-data-retention configuration where the provider offers it. Our database and document storage are hosted in the EU.

We share data only with vendors that operate parts of the service, under data-processing agreements:

6. International transfers

The default translation path and your stored data remain in the EU. Where data is transferred outside the EEA/UK/Switzerland (e.g. transactional email), we rely on Standard Contractual Clauses and supplementary measures including encryption in transit (TLS 1.2+) and at rest.

7. Retention

Uploaded and translated documents are retained only so you can retrieve your results and can be deleted on request. Account data is kept for the life of your account. Security and operational logs are kept for a limited period (typically up to 12 months).

8. Your rights

Subject to applicable law (including the GDPR and UK GDPR), you may request access to, correction of, or deletion of your personal data, object to or restrict certain processing, and request data portability. To exercise these rights, write to privacy@baobabtech.ai. You may also lodge a complaint with your local supervisory authority.

9. Security

We apply technical and organisational measures appropriate to the risk, including encryption in transit and at rest, access controls, audit logging, and a documented incident-response process. Report a suspected security issue to security@baobabtech.ai.

10. Children

Translate is intended for adult professional and organisational use and is not directed at children. We do not knowingly collect personal data from children.
